At Glassery Optometry, we respect your privacy and take care of the personal and health information you share with us. This policy explains what information we collect, why we collect it, how we look after it, and how you can access it or raise a concern.

We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth) and the Health Privacy Principles in the Health Records and Information Privacy Act 2002 (NSW).

What Information We Collect

To provide eye care and eyewear, we may collect:

  • your name, date of birth, address, phone number and email
  • your Medicare number, private health fund details and concession card details
  • your health information, including your eye and general health history, medications, test results, prescriptions and retinal images
  • details of your GP, ophthalmologist or other health practitioners
  • payment and billing details
  • information you send us through our website, contact form, email, phone or social media

How We Collect It

We usually collect information directly from you – when you book (including online through MyHealth1st), fill in forms, attend an appointment, or contact us. Sometimes we receive information from other health practitioners (for example, a referral letter) or from a parent or guardian for a child.

Why We Collect and Use It

We use your information to:

  • provide eye examinations, treatment, glasses and contact lenses
  • keep accurate clinical records and monitor your eye health over time
  • communicate with your GP, ophthalmologist or other practitioners involved in your care, where needed
  • process Medicare claims, health fund claims and payments
  • send appointment reminders and recall notices
  • respond to your enquiries
  • meet our legal and professional obligations

We will only use or disclose your information for another purpose if you agree, or if the law allows or requires it (for example, in an emergency or under a court order).

Who We May Share It With

  • other health practitioners involved in your care (such as your GP or an ophthalmologist), with your consent or where clinically necessary
  • Medicare (Services Australia) and your private health fund, to process claims
  • lens laboratories and suppliers, only the details needed to make your glasses or contact lenses
  • service providers who help us run the practice, such as our practice management software (Optomate), online booking (MyHealth1st), payment (HICAPS) and IT providers – who must keep your information confidential

We do not sell your personal information.

Is My Information Stored Overseas?

Your patient records are kept in our practice management software, Optomate, which stores data securely on our own systems in Australia. Some general business tools we use, such as email and website analytics, are provided by international companies (for example Google and Meta) and may store information outside Australia, including in the United States. We take reasonable steps to make sure these providers protect your information.

Our Website

When you visit our website, we use cookies and tools such as Google Analytics, Google Ads and Meta (Facebook/Instagram) to understand how people use the site and to measure our advertising. These tools collect information such as pages visited and device type, but they do not give us your name or health information. You can turn off cookies in your browser settings.

Please don’t send detailed health information through our website contact form. If you need to discuss a health concern, please call us.

How We Keep Your Information Safe

We store your information securely, in electronic systems with password protection and restricted access, and in secure paper records where relevant. Only staff who need your information to do their job can access it. We keep health records for the time required by law (in NSW, generally at least 7 years after your last visit, or for a child, until they turn 25).

Accessing or Correcting Your Information

You can ask to see or get a copy of your health record, or ask us to correct information you believe is wrong. Please contact us in writing. We will respond within a reasonable time (usually within 30 days). In limited circumstances, the law may not permit us to provide access to some or all of your information. If this occurs, we will explain our reasons in writing.
